Who We Are Looking For: We are seeking an experienced Event Project Manager to lead the planning, execution, and finalization of multiple concurrent events. They will provide strategy, comprehensive project management, and budget management as the primary on-site project leader. The preferred candidate has superior ability to coordinate and manage multiple complex projects simultaneously in a fast-paced environment. What Your Day Could Consist Of: Strategic Planning and Development Collaborate with clients and stakeholders to define event goals, objectives, and audiences. Lead strategy and theme development and produce detailed proposals and project materials for new and existing clients. End-to-End Project Management Oversee the full event lifecycle from planning to post-event analysis. Lead cross-functional teams, manage schedules and timelines, and use tools like SmartSheet to track progress, assess risks, and report status. Serve as the primary decision-maker, ensuring successful delivery of all deliverables. Budget Ownership & Financial Oversight Manage event budgets, ensuring cost-effectiveness and profitability. Negotiate contracts with venues and vendors and oversee invoicing and payment processing. Vendor and Stakeholder Management Build and manage strong vendor relationships, oversee contracts and documentation, and coordinate communication between internal teams, vendors, and event stakeholders. Logistics and Operations Leadership Coordinate logistics-transportation, accommodation, scheduling, setup, and teardown. Plan delivery operations and load-in/out. Provide on-site leadership as main contact for smooth execution and problem-solving. Team Leadership & Collaboration Lead and mentor event design staff and project teams, guiding the creation of design materials and ensuring deliverables meet high-quality standards. Foster a collaborative and productive environment among all internal and external stakeholders. Risk Management & Problem Solving Identify risks early and develop contingency plans to mitigate and resolve issues during planning and execution. Post-Event Evaluation Conduct post-event analysis and gather feedback to evaluate success. Prepare detailed reports to guide future planning and improvements. Requirements For Success: Proficiency in project management software and tools (e.g. Smartsheet) and advanced understanding of MS Office, particularly Excel (including database relationships). Exceptional organizational skills and a proven track record of efficient time management across multiple projects. Superior ability to coordinate, manage, and prioritize multiple complex projects simultaneously in a fast-paced environment. Excellent written and verbal communication skills, with the ability to articulate needs, visions, and deadlines clearly and professionally to diverse audiences, including senior executives, clients, and vendors. Strong negotiation and contract management skills. High technical acumen and quick adaptability to new software, platforms, and technologies. Proven ability to be flexible, adaptable, and maintain composure when managing shifting priorities, project requirements, demands, and timelines. Strong problem-solving skills with the ability to think critically and make quick decisions under pressure. Ability to work effectively both independently and in a team-oriented, collaborative leadership capacity. Demonstrated ability to identify areas for process improvement and take initiative to implement solutions that enhance efficiency and effectiveness. Essential Qualifications: Proven, significant experience in managing events from conception to successful completion, with a strong portfolio of diverse events. Demonstrated expertise in event-related project management methodologies and principles. Additional Details: Requires willingness and ability to travel and work overtime hours, including evenings and weekends, as dictated by event schedules and requirements.
