Job Description

Position Overview

Ultimate Staffing Services is actively seeking a dedicated and detail-oriented HR Assistant to join their client's team in California. This role requires a highly organized individual who can handle multiple HR tasks and ensure the smooth operation of the HR department. The HR Assistant will play a key role in supporting the team by managing various HR functions, ensuring compliance, and maintaining a high level of confidentiality.

Responsibilities

Summary: Under direct supervision, the HR Assistant will provide overall HR and administrative support to the HR department. Responsibilities include coordinating recruiting activities, managing job ads, scheduling interviews, and overseeing orientation scheduling for new hires and onboarding. The HR Assistant will act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions. The role involves the highest degree of confidentiality, prioritization, and effective communication internally and externally.

  • Must have ADP Workforce Now experience, excluding Comprehensive Service modules.
  • Experience using Cal Chamber's Handbook writer software.
  • Proficient in creating ADOBE forms and using ADOBE Sign software.
  • I-9 processing & E-Verify.
  • Process background checks.
  • Experience with employee health and welfare benefit plans.
  • Assist with day-to-day HR functions and duties.
  • Provide clerical and administrative support to the HR department.
  • Assist with the full scope of the hiring process: posting positions, scheduling interviews, etc.
  • Conduct new hire orientations and onboarding.
  • Coordinate required trainings for employees.
  • Assist with the annual Open Enrollment process.
  • Assist with year-end duties.
  • Assist with all Leaves of Absences and Workers' Comp issues.
  • Conduct or assist with ergonomic evaluations at desks or in offices.
  • Maintain, with strictest confidentiality, all personnel files.
  • Compile and update employee records (hard and soft copies).
  • Create HR forms using ADOBE and enter information into the WFN system when asked.
  • Think outside the box and find new and creative solutions.
  • Maintain professionalism under all circumstances.
  • Promote an atmosphere of trust and cooperation.
  • Assist in payroll preparation by providing relevant data when asked (leaves, etc).
  • Properly handle complaints and grievance procedures.

Qualifications

Education and/or Experience: At least 3 years' experience in HR, or proven experience as an HR Assistant or relevant human resources position. HR Certification, with at least 2 years of ADP Workforce Now experience using all features. Desired experience with Recruitment, SASS, and Onboarding modules. Familiarity with updating IIPP binder, OSHA 300 A log, OSHA summaries, OSHA form 301, and submission to OSHA. Strong organizational, time management, and prioritization skills. Ability to handle shifting priorities, work well under pressure, and follow multiple tasks through to completion. Strong attention to detail.

Computer/Software Skills/Knowledge

Familiarity with an HRIS or HRMS, and experience with ADP Workforce Now required. Intermediate/Advanced knowledge of Adobe Acrobat DC Pro, Adobe Sign, MS Outlook, MS Office.

Required Work Hours

Monday - Friday, 8:00 AM - 5:00 PM

Benefits

Salary Range: $35 - $45 per hour
